1. General Provisions
These Terms of Service ("Terms") set out the rules for using the website available at nexthire.pl (the "Website"), operated by:

These Terms are made available free of charge on the Website in a form that allows them to be obtained, reproduced, and recorded, in accordance with Article 8 of the Polish Act of 18 July 2002 on the Provision of Electronic Services.
Using the Website constitutes acceptance of these Terms. The processing of personal data is governed by a separate document — our Privacy Policy.
2. Definitions
- Service Provider — NextHire Sp. z o.o., the entity operating the Website
- User — any person using the Website
- Candidate — a User applying for employment through the Website
- Client — a business interested in NextHire's recruitment services
- Services — all electronic services provided via the Website, including browsing job offers, the application form, the AI chat, and the contact form
- Artificial Intelligence (AI) — systems that analyse data or hold a conversation in an automated manner, used at certain stages of the recruitment process, described in detail in Section 5
3. Types and Scope of Electronic Services
Through the Website, the Service Provider provides the following services free of charge:
- Access to Website content, including job offers
- An application form allowing submission of a recruitment application together with a CV
- An AI-based chatbot assisting Users in searching for offers and starting the application process
- A contact form for Candidates and Clients
- Booking a free phone consultation via the calendar system
Recruitment services provided to Clients (employers) are governed by separate agreements concluded outside the Website and are not covered by these Terms.
4. Conditions of Providing Electronic Services
Using the Website requires the following minimum technical conditions:
- A device with internet access
- An up-to-date web browser with JavaScript and cookies enabled
- For the application form — the ability to attach a CV file in PDF, DOC, or DOCX format (max. 5 MB)
The Service Provider notes that using services provided electronically may involve typical risks associated with internet use (e.g. the presence of malicious software). The Service Provider applies technical measures to minimise this risk — see the "Data Security" section of the Privacy Policy.
Users are prohibited from submitting unlawful content.
5. Use of Artificial Intelligence in the Recruitment Process
The Website and NextHire's recruitment process use artificial intelligence (AI) tools to the following extent:
- CV analysis: submitted CVs are automatically analysed by an AI model, which extracts experience and skills and provides an initial assessment of fit for a role
- Sofia — AI voice assistant: selected Candidates may receive a call from Sofia, an AI recruitment assistant. Sofia discloses that she is an AI system and that the call may be recorded at the very start of every call
- Website chatbot: an AI assistant available in the chat window, clearly labelled "AI recruitment assistant"
No recruitment decision is made solely by AI. The output of any AI analysis is always reviewed by a human recruiter before a decision is made to advance or end an application.

6. User Obligations
- Users must provide truthful, current information relating solely to themselves in all forms
- Submitting unlawful, offensive content, or content infringing the rights of third parties is prohibited
- Attempting to disrupt the proper functioning of the Website, including the AI chatbot (e.g. attempts to manipulate the system's responses), is prohibited
- Candidates are responsible for the content and accuracy of the information contained in their submitted CV
7. Intellectual Property
All rights to the content of the Website, including its logo, graphic design, text, and source code, belong to NextHire Sp. z o.o. or to entities with which NextHire has concluded appropriate licence agreements, and are protected by copyright.
Copying, distributing, or using the Website content without the Service Provider's consent is prohibited, except to the extent permitted by personal use exemptions.
8. Liability
The Service Provider makes reasonable efforts to ensure that information on the Website, including job offers, is current and accurate, but does not guarantee uninterrupted availability or complete freedom from errors.
Participation in the recruitment process does not guarantee employment. The final hiring decision rests with the employer (Client).
The Service Provider is not liable for interruptions in Website availability arising from technical causes beyond its control (e.g. hosting or internet provider outages), nor for damages resulting from improper use of the Website by a User.
To the extent permitted by applicable law, the Service Provider's liability towards non-consumer Users is limited to actual loss and excludes lost profits.
9. Complaints
Users have the right to file a complaint regarding the functioning of the Website or the electronic services provided.
Complaints should be sent to kontakt@nexthire.pl with the subject "Complaint", including:
- Contact details for a reply
- A description of the issue
- The date the issue occurred
The Service Provider will review the complaint and respond within 14 business days of receipt.
10. Termination of the Service Agreement
The agreement for free, indefinite electronic services (e.g. browsing the Website, using the chatbot) is concluded when a User begins using a given service and terminates when the User stops using it, with no further declaration required.
For services requiring the processing of personal data on the basis of consent (e.g. participation in the recruitment process), a Candidate may withdraw consent at any time as described in the Privacy Policy, which ends the provision of that service.
11. Final Provisions
Matters not covered by these Terms are governed by Polish law, in particular the Civil Code, the Act on the Provision of Electronic Services, and GDPR.
Any disputes arising from the use of the Website will be resolved by the court having jurisdiction over the Service Provider's registered office, unless mandatory legal provisions state otherwise (in particular with regard to consumers).
The Service Provider reserves the right to amend these Terms. Users will be notified of changes by updating the "Last updated" date at the top of this page and, for material changes, via a visible notice on the homepage for 30 days.
These Terms take effect on the date of publication on the Website.
